How the AIRC conference system works
One site for the whole conference: the call for papers, double-blind review, decisions, registration and payment, the programme, the conference day, certificates and the proceedings in OJS. This guide shows each person what to do, step by step.
The journey of a paper
From the call for papers to a published, citable abstract. Every stop happens in this system, and everyone involved is told by e-mail when it is their turn.

What you do, by role
Choose your role. Each one lists the steps in order, where to find them, and what to watch for.
Authors
You need one account for everything: submitting, following the review, paying and downloading your letters and certificates.
- Create an account and verify your e-mail
On the site, choose Author login → Create an account. Open the link we e-mail you; then sign in. Forgot the password? Use the reset link on the sign-in page.
- Prepare the extended abstract
Use the template from the call for papers. Keep within the word limit and remove every author name from the file: the review is double-blind.
- Submit
In My submissions → New submission: title, track, abstract, 3 to 5 keywords, the authors in order (tick who presents and who receives e-mails), the anonymised manuscript (PDF or Word) and the declaration. Save a draft any time; press Submit when ready. You get a paper code such as AIRC27-001 and a confirmation e-mail.
- Edit until the call closes
Corrections are allowed until the closing date. You can also withdraw a paper.
- Read the decision and the reviews
The decision arrives by e-mail with the reviewers' comments (and their annotated files, if any). The same comments are in the paper's page.
- Revise, if asked
Upload the revised manuscript with a point-by-point response to the reviewers by the revision date.
- Upload the camera-ready PDF
Once accepted, format the final version with the template, with the authors' names, save it as PDF and upload it: it is published exactly as you send it.
- Register and pay
In Registration: choose the fee category, in person or online, and the paper you present. Pay by bank transfer, then upload the slip. The treasurer verifies it and your receipt arrives by e-mail.
- Download your documents
Acceptance letter, invitation letter (for leave or a visa), receipt, your name badge with its QR code, and after the conference your certificates.

Reviewers
No account and no password: everything happens through the private link in your invitation e-mail. Keep it to yourself.
- Open the invitation
The e-mail from airc2026@seu.ac.lk gives the title, the track, the due date and your link.
- Accept or decline
Accepting needs one tick: you have no conflict of interest and will keep the paper confidential. Declining? Tell us why, or suggest a colleague.
- Read the manuscript
Download it from the same page. The authors are hidden from you, and you are hidden from them.
- Score each criterion from 1 to 5
Originality, relevance to the theme and track, methodology, clarity and contribution (the committee may set its own list).
- Recommend and comment
Choose accept, minor revisions, major revision or reject. Write comments to the authors (they read them, without your name) and, if you wish, confidential comments to the committee only.
- Attach a file, if useful
An annotated copy or a report (PDF or Word, up to 10 MB). Remove your name from it: the committee may forward it to the authors as "Reviewer 1".
- Submit
The committee is told at once. The link then shows your review only.

Committee and secretariat
The coordinator, secretaries and track coordinators work in the staff/admin portal under AIRC Conferences (the "AIRC conferences" duty on the Roles page). Tabs across the top: Dashboard & settings, Submissions, Reviewers, Registrations, Programme, Certificates, E-mail.
- Open the edition and fill in the settings
Theme, dates, venue, tracks, important dates, committees and keynotes (one per line), the fee table, bank details, guidelines and the template, review criteria, the word limit and how many reviews per paper. Tick Current edition, then Accept submissions when the call opens. Under Daily automation, switch on automatic reviewer reminders and a morning summary e-mail of what came in overnight. In Team & Roles, the AR or an administrator appoints the Coordinator and the Coordinator adds the Secretary, Chief Editor, Treasurer, track coordinators and desk (or copies last year’s team in one click); each sees only what the role needs. Add a hero background photo if you like, and pictures of the keynote speakers and committees in People & photos (staff show their profile photo automatically).
- Build the reviewer pool
Add Faculty staff by name, outside reviewers by e-mail, or import a CSV; copy last year's pool in one click. Tag each reviewer with tracks.
- Acknowledge the submissions
In Submissions, tick the papers (or select all), choose Acknowledgement of submission, read the prepared wording and press Send to the ticked papers. Each is marked "Ack."
- Assign reviewers
Assign reviewers automatically picks reviewers of the same track first, the least loaded, never an author; or invite one by hand on a paper. Reminders and cancellations are one click; the dashboard counts overdue reviews.
- Record the decision and send the results
On the paper: choose the decision (or none, to send the reviews only), edit the prepared message, tick the reviewers' files to attach and add your own files. The reviewers' comments are inserted where
{reviews}is; their names and confidential notes never leave the committee. - Handle revisions
A revised paper can go back to the same reviewers (round 2) with one click.
- Keep in touch
Prepared messages to any group (accepted but not registered, no camera-ready yet…) from E-mail; every message to a paper's authors stays in its history.
- Build the programme
Sessions with time, room, online link and chair; place accepted papers by track in one click; tick Programme published.
- After the conference
Issue certificates in bulk, print the book of abstracts, export the proceedings to OJS, and invite selected authors to the Faculty journals.

Treasurer
Payment is by bank transfer only. You check each slip against the bank statement in AIRC Conferences → Registrations & payments.
- Open the slips waiting for you
The dashboard tile Slips to verify opens the list. Each row shows the amount due, the category and the bank reference the payer wrote.
- Verify
One click issues the next receipt number (RC/AIRC27/0001…) and e-mails the receipt; the participant's badge becomes available.
- Or return the slip
Give the reason (unreadable, wrong amount, not found); the participant is told and can upload again.
- Waive a fee
For guests, keynote speakers or committee decisions: Waive confirms the registration without payment.
- Report to the Bursar
CSV for the bursar lists every registration with category, amount, status, receipt and bank reference. The totals by currency are at the top of the page.
| Participant | Amount | Status |
|---|---|---|
| Dr. A. Author | Rs. 4,000 | Slip received |
| Ms. B. Scholar | USD 50 | Verified |
| Mr. C. Guest | Rs. 0 | Fee waived |

Registration desk
On the day, every confirmed participant has a name badge with a QR code (printed by the committee, or on their phone).
- Sign in on your phone
Use your staff account (with the AIRC conferences duty) on fmc.seu.ac.lk.
- Scan the badge
Point the phone's camera at the QR code and open the link: the page shows the name, the affiliation and the meal preference, and checks the person in.
- No badge?
Search by name or e-mail on the Check-in desk page and press Check in.
- Payment not confirmed?
The page says so in red: send the person to the treasurer.

Proceedings editor (OJS)
The proceedings are published as an issue of the journal fmcjournal.seu.ac.lk/airc: each track a section, each accepted extended abstract an article with its PDF — permanent, citable and indexed.
- Wait for the camera-ready PDFs
Only accepted papers with a camera-ready PDF go in; the export lists any paper still missing one.
- Download the OJS import file
On the AIRC dashboard: OJS import file (proceedings). It holds the issue (volume = edition, the ISBN in its description), the sections, every article with its authors, affiliations, keywords and the PDF. It follows OJS 3.5's own import format.
- Import it in OJS
Sign in to the AIRC journal as airc_editor, then Tools → Import/Export → Native XML Plugin → Import, upload the file.
- Check and publish the issue
In Issues, open the new issue, check it, add a cover if you wish, and publish.
- Bring the links back
On the AIRC dashboard press Fetch article links from OJS: each paper is linked to its published article, and staff publications point to it.
- Invite full papers to the Faculty journals
In Submissions, tick the selected papers, choose Invitation to a Faculty journal and the journal; the authors receive the journal's submission link.
Participants (attending without a paper)
Students, practitioners and colleagues are welcome to attend in person or online.
- Create an account
The same account as authors.
- Register
Choose your fee category and how you attend; leave "the paper you present" empty.
- Pay and upload the slip
The treasurer verifies it; the receipt and your badge follow.
- Come along
Bring your badge (or show it on your phone). The programme lists the sessions, rooms and online links.
- Download your certificate
After the conference, from your account; anyone can check it on the verification page.

Fair, private and verifiable
Double-blind review
- Reviewers never see the authors; authors never see the reviewers.
- Reviewers declare no conflict of interest, and an author is never chosen to review their own paper.
- Confidential comments stay with the committee.
Private files
- Manuscripts, reviews and bank slips are stored outside the website and opened only by the people entitled to them.
- Review links are secret, and replaced with every reminder.
Verifiable records
- Every certificate has a code anyone can check.
- Receipts are numbered in sequence.
- The proceedings are published in OJS with permanent links.
Questions
I did not receive the verification e-mail.
Check the spam folder. If it is not there, try to sign in: the system sends a fresh verification link.
Can I change my paper after submitting it?
Yes, until the call for papers closes. After that, write to airc2026@seu.ac.lk.
May I submit more than one paper?
Yes. Each paper has its own code and is reviewed separately.
How do I know who presents?
In the authors list, one author is ticked as presenting. That author registers and presents; the acceptance letter names the paper.
Why must the camera-ready version be a PDF?
It is published in the proceedings exactly as you send it. Format it with the template, then save as PDF.
My bank slip was returned. What now?
Read the reason in your registration page, then upload a clear slip (PDF or photo) with the bank reference.
I am a reviewer and the link does not work.
Use the link in the most recent e-mail: each reminder replaces the earlier link.
Where are the proceedings?
In the AIRC journal on the Faculty's OJS: fmcjournal.seu.ac.lk/airc. Earlier editions are listed on the AIRC page of the Faculty website.
How can someone check my certificate?
Give them the code printed on it; they enter it on the verification page of this site.
Still unsure? Write to airc2026@seu.ac.lk.
